In a counseling office, the waiting room is part of the treatment. Clients want to arrive, sit, and not be noticed. A receptionist asking who they're here to see in front of three strangers undoes some of the safety you've worked to build.
Most private practices and small group practices don't have a receptionist anyway. What they have is a suite of offices, a shared waiting area, and a handful of clinicians all running the 50-minute hour. Whoever is waiting has to guess whether you know they're there, and the fallback is a knock, a text, or a doorbell that rings in every office at once.
TapIn is a mental health patient check-in system built around one idea: contactless check-in that says nothing out loud. Clients tap your name on an iPad, you get a silent notification on your phone or Apple Watch, and you open your door when the hour ends. No front desk required.
What gets in the way in a mental health & counseling practice
Announcing yourself in a shared waiting room
Group practices that share a suite usually share the waiting room too. A client shouldn't have to say their name and their therapist's name where the other people waiting can hear. Discretion is the baseline expectation in this field, not a bonus.
The 50-minute hour leaves no margin
You end at :50, write a quick note, reset, and open the door at :00. A knock at :45 breaks the closing minutes of a session, which are often the hardest part. A doorbell wired to the whole suite interrupts everyone's session at once.
Clients text to say they've arrived
Without a check-in system, clients text you from the waiting room, and now you're looking at your phone during another client's session. Or they don't text and sit there wondering. Neither is good for the relationship.
How TapIn helps
A tap, and nothing said aloud
The client taps your name or photo on the iPad in the waiting room. If you prefer, turn off name collection entirely so the check-in is fully anonymous. No one else in the room learns who they are or who they're seeing.
You're notified silently at the right moment
The alert arrives on your phone or Apple Watch without a sound. You can see that your next client is in, close the current session properly, and step out at the top of the hour.
One iPad for the whole suite
If five clinicians share a waiting room, they share one self check-in app on one iPad. Each clinician gets only their own notifications. The practice can run as many kiosks as it needs across locations.
Nothing clinical is stored
TapIn keeps only a name or initials, or nothing at all if you turn name collection off. It never sees your notes, your intake forms, or your billing. Check-in records are cleared after 24 hours, and TapIn can sign a BAA.
A check-in, step by step
- 1
A client arrives at 2:45 for a 3:00 session in a suite shared by four therapists.
- 2
They tap their therapist's photo on the iPad check-in kiosk near the door and sit down without saying anything.
- 3
The therapist, in the last minutes of a session next door, feels a silent buzz on her Apple Watch.
- 4
She ends that session at 2:50, takes a few minutes to reset, and opens her door at 3:00.
- 5
She greets the client, and the check-in disappears from the system by the next afternoon.

Mental Health & Counseling check-in questions
Can clients check in without giving their name?
Yes. You can turn off name collection so the client only taps their therapist's name. Nothing identifying is typed or stored.
We're a group practice sharing one waiting room. Do we each need a kiosk?
No. One iPad serves everyone in the suite. Each clinician gets their own seat and only sees alerts for clients who selected them.
Will TapIn sign a BAA?
Yes. TapIn can sign a Business Associate Agreement. Your practice remains responsible for its own HIPAA compliance, and TapIn stores nothing beyond a name or initials, which is deleted after 24 hours.
Do I have to change anything in SimplePractice or TherapyNotes?
Nothing. TapIn doesn't connect to your practice management system at all. It only handles the check-in and pinging your phone.
What happens if I'm in session and can't look at my phone?
The notification waits for you. It's a silent push alert on your phone or Apple Watch, so you glance at it when you're ready and nobody is interrupted.
