Patient check-in for speech-language pathologists

Speech Therapy check-in that never interrupts a session

Parents and adult clients tap their SLP's name on an iPad in the waiting room. You get a silent buzz on your phone or watch and finish the drill you're in the middle of.

A speech therapy session lives or dies on attention. When a four-year-old is finally producing a clean /k/ sound and someone raps on the door to say the next family is here, that moment is gone. The knock is for you, but the kid hears it too.

Most small speech practices don't have a receptionist. The SLP is the receptionist, the biller, and the person who runs out to the lobby every 30 minutes to see who showed up. TapIn is a speech therapy patient check-in app that takes that last job off your plate.

It runs on any iPad you already own, propped on a stand in the waiting area. A parent taps your name, you get a push notification on your phone or Apple Watch, and you walk out when you're ready. No front desk, no receptionist, and nothing else changes about how you run the practice.

What gets in the way in a speech therapy practice

The knock lands right in the middle of a target

Articulation work needs repetition, and repetition needs quiet. A parent poking their head in to say they've arrived resets a distractible kid and costs you two or three minutes of re-engagement. Multiply that by six sessions a day.

Parents don't know if you know they're there

A family sits in your waiting room with a squirming preschooler and no one to tell. They wonder whether to knock, text you, or just wait. Some knock, some text during your session, and some assume you forgot them.

Adult clients feel awkward announcing themselves

An adult working on stuttering or on their voice after surgery may not want to speak up in a shared hallway. Asking them to call out to a closed door or hunt for a doorbell is a small indignity that adds up before every visit.

How TapIn helps

A tap replaces the knock

Your client or their parent taps your name or photo on the iPad. That's the whole contactless check-in, about five seconds. There's no bell, no intercom, and no sound in the hallway.

You find out on your wrist, not at the door

The notification goes to your phone or Apple Watch silently. You can glance down, finish the last few trials of the set, and step out at a natural stopping point instead of a forced one.

Parents get a clear signal that they're checked in

The iPad check-in screen confirms the tap, so a parent knows you've been told. That ends the guessing and the mid-session texts. Families who arrive early can settle in without worrying.

Works next to your existing scheduling and notes

TapIn doesn't connect to SimplePractice, TherapyNotes, or whatever you use for scheduling and documentation. It handles the check-in and the notification, and that's all. There's nothing to integrate and nothing to migrate.

A check-in, step by step

  1. 1

A mom and her six-year-old arrive ten minutes early for a 3:30 articulation session.

  2. 2

In the waiting room, the mom taps the therapist's photo on the iPad kiosk and types the child's initials.

  3. 3

The SLP, mid-session with another child, feels a silent buzz on her Apple Watch and sees who has arrived.

  4. 4

She finishes the current word list and walks the earlier client out on schedule.

  5. 5

She greets the new family at the door, and the check-in record is gone from the system within 24 hours.

Speech Therapy check-in questions

Can a parent check in for their child?

Yes. Whoever walks in taps the therapist's name and optionally enters the child's name or initials. There's no account or login for families.

What if I see both kids and adults?

The kiosk works the same way for a caregiver checking in a toddler and an adult voice client checking in for themselves. Both just tap your name on the screen.

Does it work with SimplePractice or TherapyNotes?

TapIn runs alongside them without any integration. It never touches your scheduling, notes, or billing. It only handles check-in and the notification to your phone.

What does TapIn store about my clients?

Only the name or initials typed at check-in, if you collect one at all. No records, no forms, no insurance information. Check-ins are deleted automatically after 24 hours, and TapIn can sign a BAA.

Do I need a new iPad?

No. Any iPad works, including older ones you may already have in a drawer. The kiosk side is the free TapIn self check-in app from the App Store.
