A patient check-in kiosk used to mean a dedicated stand from a hardware vendor, a contract, and an IT project. For a small therapy practice that is the wrong tool. How the kiosk works
- The patient arrives and sees an iPad at the entrance showing your logo and a grid of your therapists' names and photos.
- They tap their therapist. Depending on your settings they type their name, just their initials, or nothing at all. The whole thing takes about five seconds.
- The therapist is notified with a push notification on their iPhone, Android phone, or Apple Watch. It is discreet: a vibration, not a knock on the door, and nobody else in the suite is disturbed.
That is the entire product. There is no intake form, no insurance capture, and no appointment scheduling, because those belong in your EHR. TapIn is the thin layer between the waiting room and the treatment room.
What you need
- An iPad. Any model that can install the current TapIn app from the App Store. Older iPads are fine. Wi-Fi is enough.
- A phone per therapist. The free TapIn app runs on iPhone and Android and pushes notifications to Apple Watch.

A stand, a wall mount, or a charging dock is optional. Many practices simply prop the iPad on the reception counter that no longer has a receptionist behind it.
Why an iPad instead of a dedicated kiosk
Purpose-built patient kiosks are designed for hospital lobbies and multi-provider medical groups. They assume a front desk exists to manage them, an IT department to update them, and volumes that justify the price. A therapy practice with two to twenty clinicians has none of that, and an iPad covers everything it needs:
- You already own one. The device most practices use is one that was replaced by a newer model.

What patients see
The kiosk screen shows your practice name and logo, in your colors, with each therapist as a tile. Patients can search by name if the grid is long. After they tap, they get a short confirmation and the screen resets for the next person. There is nothing to read and nothing to learn, which matters when the person checking in is a parent with a toddler on one hip, or someone who is anxious about being there at all.
You choose how much the patient types. Full name, initials only, or nothing: a fully anonymous check-in that still notifies the right therapist. Practices that share a waiting room with other businesses usually pick initials or anonymous.
Privacy by design
A paper sign-in sheet on the counter shows every visitor who came before them. A kiosk should be better than that, and TapIn is built so that there is almost nothing to protect:

- No medical records, no intake forms, no insurance information, and no clinical notes ever pass through TapIn.
